This Privacy Policy describes how Restaurant Wealth Coaching, Inc. ("we," "us," "our") collects, uses, and protects your information when you use EROS.
1. Information We Collect
Account Information: Email address, password (encrypted), name, restaurant name, and contact information provided during registration.
Restaurant Profile: Restaurant name, address, phone, timezone, logo, and other business details entered during onboarding.
Financial Data: Weekly sales figures, labor costs, food costs, and other operational metrics you enter into the weekly scorecard and calculators.
Coaching Data: Your responses to coaching questions, reflection fields, motivation scores, action item completions, and AI coaching history.
Operational Data: Checklists, ops sheets, daily habits, hiring activity, calculator results, values/mission/vision statements, and resource library usage.
Employee Information: Names, positions, and performance notes you enter about your team members.
Payment Information: Stripe processes all payments. We do not store your credit card number, CVV, or full card details on our servers. Stripe provides us with the last 4 digits, card type, and billing address for record-keeping.
Usage Data: Standard server and network logs - IP address, browser type, and request timing - collected automatically by our hosting and security infrastructure. We do not run behavioral analytics software that tracks time spent or feature usage.
Cookies: We use essential cookies for authentication, session management, and security (bot protection). No third-party advertising cookies.
2. How We Use Your Information
- To provide the EROS platform and all its features, including AI coaching
- To generate personalized AI coaching verdicts and Q&A responses using your restaurant data
- To process subscription payments via Stripe
- To send you coaching emails, product updates, and account notifications via Resend
- To improve the EROS product and develop new features based on aggregated usage patterns
- To provide customer support when you contact us
- To comply with legal obligations
3. AI Processing
- EROS uses Anthropic's Claude API to generate AI coaching verdicts and Q&A responses.
- When coaching is generated, your restaurant data (scorecard metrics, habits, action items, and other EROS data points) is sent to the Claude API as part of the coaching prompt.
- Anthropic does not use data sent via their API to train their AI models. Your data is processed and discarded by Anthropic's systems after the response is generated.
- Voice input (used in select AI Coach features) is transcribed to text using ElevenLabs' speech-to-text API. The audio recording itself is never stored - only the transcribed text is kept, and only after you review and confirm it.
- We do not send your raw financial data to any AI provider other than Anthropic.
- AI coaching outputs are stored in your EROS account for your reference and coaching history.
4. Third-Party Services
We use the following third-party services to operate EROS:

We do not sell, rent, or trade your personal or business information to third parties for marketing purposes.
5. Data Security
- All data is encrypted in transit (TLS/SSL) and at rest.
- Application-level access controls ensure each restaurant account can only access its own data.
- Passwords are hashed and salted - we cannot see your password.
- Admin access to client data is limited to Michael Kontras for the purpose of product support and coaching.
- We do not have access to your full credit card details (Stripe handles this).
6. Data Retention
Active accounts: All data is retained for the duration of your subscription.
Canceled accounts: After cancellation, your data is retained for 90 days in case you resubscribe. After 90 days, data is queued for deletion.
Deletion requests: You may request immediate deletion at any time by emailing michael@erossystem.com. We will delete your data within 60 days, except for billing records required by law (retained for 7 years per IRS guidelines).
Coaching history: AI coaching verdicts and Q&A history are deleted with your account data. They are not retained separately.
7. Your Rights
You have the right to:
- Access: Request a copy of all personal and business data we hold about you.
- Correction: Request correction of inaccurate data.
- Deletion: Request deletion of your data (subject to legal retention requirements).
- Portability: Request your data in a standard, machine-readable format.
- Opt-out: Unsubscribe from marketing emails at any time via the unsubscribe link in any email.

8. California Residents (CCPA)
If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA):
- Right to know what personal information we collect and how it is used
- Right to delete your personal information
- Right to opt out of the sale of personal information (we do not sell your data)
- Right to non-discrimination for exercising your CCPA rights

9. Children's Privacy
EROS is a business tool for restaurant operators. It is not intended for use by anyone under 18 years of age. We do not knowingly collect information from minors.
10. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated via email at least 30 days before they take effect. The "Last Updated" date at the top of this policy will reflect the most recent revision.
